We only ask for information that is relevant to the purpose for which it is collected.

3. How we use your information

We may use your personal data to:

  • process applications and registrations for our trainings, courses, workshops and events
  • administer your participation in a training or programme
  • manage certification and trainer records
  • communicate with you about your application, training or other services
  • process invoices and payments

We do not sell your personal data.

4. Our legal basis for processing

Under the General Data Protection Regulation (GDPR), we must have a legal basis for processing personal data.

Depending on the situation, we process your information because:

  • it is necessary to take steps at your request before entering into an agreement or to perform an agreement with you, for example when you apply for or participate in a training
  • we have a legal obligation, for example in relation to financial and tax administration
  • you have given us your consent, for example for certain marketing communications or cookies
  • we have a legitimate interest in operating, securing and improving Academy for Mindful Teaching and communicating effectively with people who interact with us, provided that your privacy rights do not override those interests

Where processing is based on your consent, you can withdraw that consent at any time.

5. Newsletter and email communication

If you subscribe to our newsletter, we use your email address and any preferences you provide to send you relevant news, inspiration, training information and updates from Academy for Mindful Teaching.

We may ask which language you prefer so that we can communicate with you in the language that is most useful to you.

We use Klaviyo to manage our email communications and subscriber lists. Information such as your name, email address, language preference and interactions with our emails may therefore be processed through Klaviyo.

You can unsubscribe from marketing emails at any time by using the unsubscribe link included in every newsletter. Unsubscribing from marketing emails does not prevent us from sending necessary service messages relating to a training, application, payment or other agreement with you.

6. Free resources

When you request free exercises, downloads or other resources through our website, we use the information you provide to send you the requested material.

If signing up for a resource also includes subscribing to our newsletter, this will be made clear at the point where you enter your details. You can unsubscribe from the newsletter at any time.

7. Training applications and certification

When you apply for one of our professional trainings, we collect the information necessary to process your application and administer the training.

If you become a certified AMT trainer, we may retain information relating to your certification, training history and certification status for as long as necessary to administer and verify your certification.

If you choose to have a public trainer profile on our website, the information displayed on that profile may be visible to anyone visiting the website. We will only publish information intended for this purpose.

8. Website and cookies

Our website may use cookies and similar technologies to make the website function properly, remember preferences, understand how visitors use the website and, where applicable, support marketing activities.

Some cookies are necessary for the website to function and do not require consent. Other cookies, such as certain analytics or marketing cookies, are only placed where required consent has been given.

You can manage your cookie preferences through the cookie settings available on our website.

For more detailed information about the cookies we use, please see our Cookie Policy.

9. Service providers

We use trusted third-party service providers to help us operate Academy for Mindful Teaching. Depending on the services you use, these may include providers for:

  • website hosting and website forms
  • email and newsletter communication
  • online learning environments
  • video conferencing
  • payment and invoicing
  • cloud storage and IT services
  • analytics and website security

Our website is built and hosted using Webflow. We use Klaviyo for email marketing and subscriber management.

These providers may process personal data on our behalf and are only permitted to process that information in accordance with applicable data protection requirements and their agreements with us.

We may also disclose information where required by law or where necessary to establish, exercise or defend legal claims.

10. International data transfers

Some of the service providers we use operate outside the European Economic Area (EEA), including in the United States.

Where personal data is transferred outside the EEA, we take appropriate measures to protect it in accordance with applicable data protection law. Depending on the provider and destination, these safeguards may include an adequacy decision, participation in an approved data privacy framework or Standard Contractual Clauses approved by the European Commission.

11. How long we keep your information

We do not keep personal data longer than necessary for the purpose for which it was collected.

The exact retention period depends on the type of information and why we hold it. For example:

  • application and training information is retained for as long as necessary to administer the training and our relationship with you
  • certification records may be retained for as long as necessary to verify and administer certification
  • financial records are retained for the period required under applicable tax and accounting laws
  • newsletter information is retained until you unsubscribe or otherwise withdraw your consent, unless we have another lawful reason to retain limited information
  • contact enquiries are retained only for as long as reasonably necessary to deal with the enquiry and any subsequent communication

Where information is no longer required, we delete or anonymise it.

12. Children’s privacy

Our website and professional training services are primarily intended for adults.

Although our work is centred around mindfulness for children and young people, we do not knowingly collect personal data directly from children through the website unless there is a specific and appropriate reason to do so and the processing complies with applicable data protection requirements.

If you believe that a child has provided personal information to us inappropriately, please contact us so that we can review and, where appropriate, remove it.

14. Security

We take appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure, alteration or destruction.

No online system can be guaranteed to be completely secure, but we work with professional service providers and take reasonable steps to safeguard the information entrusted to us.

15. Links to other websites

Our website may contain links to websites or services operated by third parties. We are not responsible for the privacy practices of those third parties. We recommend reviewing their privacy policies when visiting their websites or using their services.

16. Changes to this Privacy Policy
